Reminder: Your IFTA Return Is Due Today

What the truck taxes?! The 2nd quarter IFTA deadline is here already?! That means it’s time to pull over and file tonight by midnight in order to avoid getting hit with late filing penalties!

Don’t worry, TruckLogics is here to help by answering frequently asked IFTA questions so you can quickly complete returns and get back on the road.

Frequently Asked IFTA Questions

Now if you’re a TruckLogics user then all of your miles from your trip sheets and fuel expenses have been totaled up in quarterly IFTA reports. You can use these reports to quickly enter your calculations on your return. They can also be printed or emailed to go anywhere they need to. Now let’s dive into some frequently asked IFTA questions.

1. What information is required to complete my return?

To complete your IFTA return you need to enter your:

- Total miles (including non-taxable miles) traveled per jurisdiction.
- Gallons of fuel used and purchased per jurisdiction
- The tax paid on all of your fuel purchases
- And the current tax rate per jurisdiction.

2. Who is required to complete an IFTA return?

The operator of a qualifying vehicle who travels between two or more jurisdictions (states) must file a quarterly IFTA in order to comply with the law and to get their IFTA license and decals.

3. What vehicles qualify for IFTA?

A qualifying motor vehicle for IFTA includes any motor vehicle or a combination of vehicles used, designed, or maintained for the transportation or people or property and have:

- Two axles and a gross vehicle weight exceeding 26,000 pounds
- Two axles and a registered weight exceeding 26,000 pounds
- Three or more axles, regardless of weight
- A combination weight exceeding 26,000 pounds.

4. Do I need to keep my IFTA decals on my vehicle?

Yes. Your IFTA decals need to be clearly displayed under your driver’s side window. Don’t place it on windows, mirrors, tanks, or vents. If they aren’t properly displayed you may be written a citation, required to get a trip permit, or both. Also, be sure to carry your IFTA license in your vehicle at all times, because you’ll be subject to facing the same penalties without it.

5. What happens if my IFTA return is late?

If your IFTA return is late, you fail to file, or don’t pay the full amount of taxes you owe then you will be subject to a fee of $50 or 10% of your taxes due, depending on which is greater. You’ll also be subject to the penalties imposed by your base jurisdiction. Interest on the amount of tax due will also accrue at a rate of 1% per month.

Wait, Why Was My 2290 Rejected?

Attention procrastinators! You may think it’s alright to wait until the last minute to file your Heavy Vehicle Use Tax Form 2290, but that’s not the case! The August 31st deadline is almost here, so you should file as soon as possible in case your form gets rejected! Because if your form is rejected then it’s up to you to correct it and retransmit it to the IRS by the deadline.

Luckily, in the event of a rejection, you don’t have to panic because we’re here to help, with the most common reasons for 2290 Form rejections.

Common Reasons For Form 2290 Rejections

EIN Issues

You need an EIN or Employer Identification Number to complete your form. If you don’t have one then you can’t use your SSN (Social Security Number) in its place. Once you list your SSN in the EIN field on your form it will be rejected.

If you need an EIN you can easily apply for one online with the IRS, and you’ll receive your unique EIN as soon as you apply. However, that doesn’t mean it’s time to file your 2290, because it takes about 15 days to be updated in the IRS’s system, and your form could be rejected during this time.

Because of Name Control, which is established by the IRS to identify you once your EIN is created, you have a special sequence of characters used from your name as the IRS processes your return. If your name and EIN do not match what the IRS has on file then your form could be rejected. You can verify your name control with the IRS by calling 1-800-829-4933.

Duplicate Forms

You can only submit a 2290 Form for a VIN (Vehicle Identification Number) once. Duplicate VIN numbers will be rejected. Make sure you’re filing for the correct tax year. The current tax year began on July 1, 2017 and will end on June 30, 2018. If you accidentally filed again for the 2016 tax year then that could be the cause of your duplication rejection.
If you enter your VIN incorrectly it might match someone else’s and cause your form to be rejected. Because VINs consist of 17 characters, with both numbers and letter they can be easy to enter incorrectly. Take your time to enter your VIN correctly, and double check it. If your form gets rejected due to having a duplicate VIN you can quickly and easily make free VIN corrections with ExpressTruckTax.

Incorrect RTN

If you pay the amount of HVUT you owe to the IRS through direct debit or electronic funds withdrawal then you have to provide your bank account number and your routing transfer number (RTN). If you enter this number incorrectly the IRS will not be able to debit funds from your account.

Your RTN can be found on one of your checks. If your form is rejected due to having the incorrect RTN you can edit your information and retransmit your form or choose another payment method. Also, if you choose to pay the IRS via direct debit or EFW make sure there are enough funds in your account to cover the costs.

We’re Here To Help

Our sister company, ExpressTruckTax, provides the quickest and most convenient way to file your Form 2290 and get your stamped Schedule 1 back the same day. You can also easily amend your form and retransmit it at any time.

IFTA is an agreement between the lower 48 United States and the Canadian provinces. The purpose of IFTA is to calculate the net tax or refund due and to redistribute taxes from collecting states that are due. This report is filed on a quarterly basis and for staying compliant with these reports the operating vehicles receive an IFTA license and two IFTA decals.

You must file a quarterly IFTA return if your motor vehicle is used, designed, or maintained for the transportation of persons or property, the power unit has two axles and a gross weight of 26,000 pounds or more, the power unit has 3 or more axles regardless of weight, or is used in combination and the weight of the combination is equal to or greater than 26,000 pounds in vehicle weight.

In order to complete your IFTA return you need to file for your jurisdiction ( the state where your vehicle is registered) and include the:

- Total miles traveled per jurisdiction, including the nontaxable ones.
- The total gallons of fuel consumed per jurisdiction.
- The total amount of taxes paid on all fuel purchases.
- The current tax rate per jurisdiction.
TruckLogics can help you accurately calculate your totals and instantly complete your IFTA return by offering quarterly IFTA reports that track your totals. All of the miles you travel can be routed with ProMiles to find the most efficient route and the totals from your trip sheet are automatically recorded in your IFTA report.

Why Your EIN is Required On Your 2290

The IRS is accepting and processing Heavy Vehicle Use Tax (HVUT) Returns, meaning you can go ahead and knock out your Form 2290 today and receive a copy of your stamped Schedule 1, as long as you’re prepared to file. What involves being prepared to file? Having your EIN, so learn everything about it here today!

Why Your EIN is Important

REMEMBER: You need your EIN to complete your 2290 form.

Your EIN or Employer Identification Number is a number assigned by the IRS to identify employers and others with no employees who are required to file various tax returns. It helps the IRS prove that you are in fact you to prevent fraud. You do not need a business to get an EIN, EINs are assigned to sole proprietors to file pensions or excise tax returns.

Each EIN assigned by the IRS consists of 9 digits, similar to Social Security Numbers, where some confusion can come into play. However, these numbers are totally different and should remain separated. EINs identify businesses and sole proprietorships, while SSNs are used to identify individuals.

To make matters even more cloudy, in the past you could use your SSN in place of your EIN on your 2290 form. However, this is no longer the case. If you use your SSN instead of your EIN on your form then it will be rejected.
If you need an EIN you can apply for one online with the IRS. Once you apply for your EIN you’ll receive it instantly. However, it takes about 15 days for new EINs to update in the IRS’s system. During this time your form could get rejected, so give yourself enough time before the August 31st deadline to get your EIN if you need one.

Once you have one you’re good. Write it down, remember it. However, you may need a new EIN if you’re subject to a bankruptcy proceeding, take in new partners or begin to operate as a partnership, become incorporated, or purchase or inherit an existing business.

One thing to note is that when you file your 2290 your business information and EIN must match what the IRS has on file for your business, otherwise your form may get rejected. If you’re unsure about your information, call the IRS directly (800) 829-4933 to see if it matches.

The Top 2290 Filing Options

If you still need to file your Form 2290 check out ExpressTruckTax. You can use their step-by-step e-filing guide to complete your form in a matter of minutes and you’ll get your stamped Schedule 1 via email within about 15 minutes. Plus, you can use the ExpressTruckTax app on your smartphone or tablet to file at any time from any location.

You can also give TSNAmerica a call at 803.386.0320 to have one of their outstanding representatives file your 2290 for you. That’s right, you can handle all of your 2290 needs with one simple phone call and as a result, your copy of your stamped Schedule 1 will instantly be sent to your email address.

Get Major Savings With Preventative Maintenance And Fuel

As a fleet owner or manager, we know you’re always looking for ways to improve your budget. Especially when in the truck industry a few extra pennies here and there can make a major difference in keeping your business going. Check out how you can really improve your budget by saving with preventative maintenance and fuel.

How To Save

Preventative Maintenance

It may be time-consuming to check your brakes, get your tires rotated, get your oil changed on a regular basis, and more. Plus, you may not be particularly excited about the costs of regular care but taking care of your trucks will help you in the long run.

If your truck breaks down then the sudden repair cost will often be more than the cost of preventative maintenance, and that’s just the start. Repair cost will pale in comparison to loss profits and loads. Your customers will also be affected.

Especially, your best customers - those who have come to rely on your services on a regular basis. One or two canceled loads is not only a loss in profits but a loss in customer confidence. Worse still, those customers will have to hire your competition to deliver the canceled or lost loads, effectively giving your business away to the competition.

Preventative maintenance isn’t just about maintaining your equipment because it can benefit your drivers as well. Healthy drivers are more aware out on the road and less likely to make mistakes. Just as you would make sure your drivers are qualified and certified, make sure they’re healthy with routine check-ups beyond the required DOT physical exam.

A lot can affect your drivers’ health over 2 years, and if possible, offer to pay for a regular 6 month check up with a doctor. A couple of doctor bills could save you a lot of time and money by preventing wrecks. Also, let your drivers rest, don’t push them past their or your limits or if they get sick. Driving tired is the equivalent to driving drunk.

Save On Fuel

Fuel is your number one expense, but there are a few ways to save on it. For example, get rid of extra miles and improve your miles per gallon. This is possible with the help of ProMiles to either plan the most direct or most gas efficient route.

Tell your drivers to stick to the interstate if they can and to avoid taking back roads with four-way stops and traffic lights, which cause them to stop and accelerate more often. It may help to make sure all of their rigs have updated GPS systems to prevent drivers from getting lost.

You’ll want to cut down on all unnecessary miles so be sure to track your drivers during their routes and let them know you can see their trips so they’ll be more motivated to stick to the route. You could also provide incentives for the drivers with the best fuel efficiency. Your fleet could also gain a better driver retention rate with fun and unique incentives.

You’ll want to make sure drivers are doing what the can to improve their fuel efficiency. Are they cutting down on idling time? Are they braking hard or accelerating too fast? Are they pros at shifting gears? Also, cut down on is speeding to save a lot of fuel!

Enjoy Those Savings

Saving more allows you to set aside money for emergencies, grow your business, purchase better equipment, finally treat yourself, reward your drivers, and more. By taking a look at your budget you’ll quickly find new ways to save, especially when it comes to preventive maintenance and fuel.
