Using TruckLogics for Your 2015 Trucking Review

Hey, Trucking Nation! Hope you’re enjoying the road this week. The winter season brings new adventures every year, but with all the chaos, you deserve to take moment in a quiet place and calm your mind before we start looking into the future. You can’t look into your future all stressed out - that never ends well. The new year will be here soon and if you’re not prepared things can get rough. You don’t want to be hanging up your keys going - “I coulda been a contender.”

Conducting a review of your business is going to give you all those goals, budgets, and plans successful business people say you need to do at the end of the year to stay profitable. Those kind of people just like to confuse you a bit with fancy words and crazy colored graphs. We don’t need all that fluff. The TruckLogics Crew has broken down how to conduct a review of your business that is efficient, fast, and easy.

1. Organize the Information
We’re all about making life simple, so when putting together your expenses, income, and revenue for each month of 2015, break it down by quarter. Start with January, February, and March.
  • If you have been using TruckLogics since the beginning of the year, all your will need to do is generate a Profit & Loss report for the first quarter.
2. Analyze and Set Goals
Once you’ve added up the different figures, now it’s time to analyze and set a goal for each month of 2016. Set a goal for how much you want to increase your revenue in January. Then, look at which expenses you can eliminate so you can start shaping a budget. Do the same for February and March.

Next, look at how many loads you had in January 2015. Set a goal for how many you want to haul for January 2016. Do you want to do the same amount? Less? More?. If you want to do less, know your Revenue Per Mile (RPM) should be higher than last year.

3. Create A Budget
Think of a budget as a game. You will have a certain amount of money to use for one month, and you can use it any way you wish, but you can’t go over. Create a reasonable expense budget starting with January. The goal is to spend less than the year before so you can turn more profit for the month. Sticking to a budget is also going to give you a cushion of savings incase you don’t do well one month, or you have an emergency expense.

4. Manage Your Plan with TruckLogics

Business Management Breakdown | End of Year To-do List

Are you ready for 2016? Do you have all your trucks in a row? You might think you still have time because it’s November, but you know how time flies and before you know it you’re scrambling to get everything done at the last minute. The TruckLogics Crew doesn’t want you to start the new year stressing out. We want you to start with a plan to increase profits and truck your way to a great year. The best thing to get in gear for the new year is to make an End of Year To-Do List. It will make your life so much easier being able to actually see everything you need to have done. Let’s get cracking because we don’t have a lot of time left!

End of Year To-Do List

You don’t want to forget anything when making this list. So start with things that you have to pay to operate next year and things you have to do for your taxes. Note - some renewals are bi-annually and some are done every year. 

  • IFTA
  • IRP
  • UCR
  • DOT State Permit Renewals (NM, HUT, OR)
Once you have the renewals listed you need to take care of, then move on to tax information. If you have an accountant, list out everything you need to send them. If you do your taxes yourself (mad respect), then make out a list of everything you need to complete your tax returns.

  • Have documentation of each month’s expenses (variable and fixed). 
  • Have documentation of your revenue for each month.
  • Check to see if there are any new deductions you can claim.
  • Know the deadline to have your taxes done or to have your information sent to your accountant. Tax services usually charge more the closer it gets to the deadline so get your information to them ASAP.
What you need for your taxes may differ from the list, but it’s a good place to start. Once you have all the paperwork items listed that you need to have done, your truck is next.

For The Truck
  • Schedule maintenance that needs to be done. 
  •  Inspect all chains and tie downs to see if they need to be replaced (if chains are warped, bent, or rusted they are unsafe and you can be cited. Same goes for tie downs, make sure they are not frayed or ripped.)
  • Thoroughly inspect your truck to make sure nothing needs to be replaced. Get close and personal with your truck and inspect every inch. You know you want to.
  • Clean the inside of your cab. Wash your bedding (maybe wash it twice if it’s been awhile), rugs, and take a cleaner to that carpet if you have it. Scrub every inch and make it shine like the day it rolled out of the factory. A clean truck = a happy driver.
Every truck has a personality and some are more high strung than others, but they all appreciate being taken care of. Show your truck you care and she will take good care of you. 

Next up, make a list for what you need for your business. Driving a truck is a business, not just a job. Whether you are leased on, an owner-operator, or living the small fleet life, you are a business. Here is what you will need to manage your trucking business for the new year.

Putting a receipt in a box to be looked at later is not a great way to track your expenses. If you lose a receipt, that’s one less deduction your get to claim on your taxes. Business Management Breakdown | Profit Per Mile

Please, recite after me - “The end of the year is almost here.” Again. One more time. This is your anti-procrastination mantra to get your business in gear before 2016 starts. Analyzing your revenue, cost, and profit per mile for each month of 2015 is a perfect place to start. You will be able to fully analyze what factors made you profitable, and forecast what you need to make each month in 2016 to increase your profit margin. We’re going to get into forecasting in just a second, but let’s go over calculating these numbers first.

Profit Per Mile

Revenue - Cost = Profit. For the majority of trucking businesses, revenue is mainly going to be in the form of income (related to hauling a load) and cost is going to be your variable and fixed expenses. TruckLogics does all the calculating for you, but it’s always good to understand how it works.

Once you have your profit, you will divide it by your miles driven for a set date range. You will use total miles driven, including empty and loaded. Even though you’re not generating revenue when you’re empty, it’s still a factor.

For example: $12,500/10,000 mi = $1.25 profit per mile for January. Breaking the numbers down in a month-to-month analysis will provide you with the most relevant information to prepare for the beginning of the new year. Again, Trucklogics does all this for you based on the income, expenses, and mileage you entered into your account. Profit & Loss Report

TruckLogics has a detailed Profit & Loss report that will show all the information needed to predict future revenue and create an expense budget that will maintain your profitability. The P&L report is going to list your mileage, income, expenses, and revenue (including net revenue). It is also going to break all the numbers down to a per-mile figure to give you your base amount - the amount you will want to exceed to increase profit. You will quickly be able to see which loads were more profitable, which customers contributed the most to your profit percentage, and further analyze the factors that increased your income.

Profit Forecast

The wait-&-see method is not going to keep your trucking business profitable. You have to get smart about forecasting what you need to operate and turn a profit. You already have the information you need to forecast your profit per mile for at least the next 6 months. Six months might be a little overzealous, so let’s scale it back and explain how to create a profit forecast for three months (January, February, and March).

First, you want to calculate your revenue, cost, and profit for each month. Then, divide each number by the miles driven so you have your per-mile figures. If you notice your cost was unusually high for one month, see why. If it will be a recurring expense for 2016, then you need to plan to make the revenue to cover it. If revenue for one month was high, look to pinpoint the reason and see how you can increase it even more. Finally, look at your profit per mile for each month. These figures are going to be your base. You don’t want make below these numbers, but you do want increase these numbers for 2016. Set a goal for the profit you want to make and you will be more likely to reach it.

The easiest way to increase profit is to cut back on costs, but you can also try increasing your rates. If you had a full year of safe miles, positive customer feedback, and passed every inspection, then you have some great negotiating tools to increase your rates and generate more income.

Planning ahead and having set goals of what you need to make to turn a profit is going to keep you in business.
