Trucking Nation Podcast 4. Happy Thanksgiving Trucking Nation

Happy Thanksgiving Trucking Nation! I do hope you aren't having to work too hard on this day of thankfulness. I have a special Thanksgiving episode for you. And if you asked me what I am thankful for this Thanksgiving, I'm thankful for every trucker that keeps our great nation moving forward. Sappy, but true. Ok let's get to the show....

A Trucker's Thanksgiving
I love to cook, and at one point in my life, I had to learn to cook in a truck cab and I picked up a few tips & tricks along the way. I made a delicious Thanksgiving meal, including dessert, that any trucker can make in his cab. I would definitely have some extra bread because you will have plenty of left overs for sandwiches. I even have a secret ingredient (it's soda...but shhhh don't tell anyone). Check out the recipe and you won't believe how easy it is...

Big Rig Cooking: A Trucker's Thankgiving

How are you Trucking Nation? The weather here in South Carolina is just dreadful. Even though the weather is not too great, I won't let it get me down today. I have just the thing to make you feel all warm and in the holiday spirit. What could it be you ask? The perfect Thanksgiving dinner you can make on the road; including dessert! Let's get started, so you can get cooking....

What you will need:
- An electric skillet or crock pot
- foil
- a knife to core the apple
- a spoon
- Fully cooked, pre-sliced turkey breast, or ham
- 2 fresh vegetables ( I used carrots and green beans) *you really want to choose fresh vegetables because canned veggies have a lot of additives that are not good for you.
- a can of Coke or Dr.Pepper

Only if you want to list:
- pre-diced onions to add on top of the green beans
- honey
- cinnamon

* I used an electric skillet, so that is what I will be referencing, but a crock pot would work the same way.

Prep:

To make clean up a breeze, line your skillet with foil. I did two layers in an X pattern for durability.
Set the temperature to a low-medium heat. And while that is heating up, you want to core the apple and wrap it in foil, leaving the top open.
Drizzle honey and sprinkle cinnamon in the center of the apple.


Let's Get Cooking:
The turkey breast I got is about a pound. It will be enough for 2 people plus leftovers to make sandwiches the next day (bonus!).
In your pre-heated skillet, place the turkey breast in the center, then place the apple in. Next throw in your veggies.


Now that's it for the cooking, but wait we haven't added the secret ingredient. To give everything a nice flavor and to keep the turkey moist, I pour in half a can of Coke. If you have never cooked with soda before, trust me it is delicous. Your food won't taste like Coke, I promise, but it will have a sweet and savory effect on the food.


After you pour in the Coke, just put on the lid and let it cook on lo-medium heat for about an hour, then you can just turn it on down to simmer and eat when you're ready.

It will look like this....Yummmmm


Super easy right? Everyone here in the office, couldn't believe how simple it was. Every ingredient can be found at any grocery store and you can mix things up the way you want. All in all this meal is actually pretty healthy, besides the Coke. I hope you enjoy this heart warming meal and have a Happy Thanksgiving.

Driver Pay: Easy Trip Settlements with TruckLogics

It’s time for a #MoneyMonday blog!

With so many fees, percentages, deductions & reimbursements, settling your drivers and calculating their pay can be a huge headache, particularly if payroll and accounting aren’t your strong suit. (and unless you’re an accountant, why would they be!)


The TruckLogics Trip Settlement feature makes driver pay simple. It allows you to precisely calculate the total owed, without having to do any calculations yourself. 

And while calculating the pay, you can still itemize specific expenses for more accurate accounting. It’s the easiest way to pay your contract employees! Plus the pay automatically gets logged in your Chart of Accounts as a payroll expense, and is immediately visible in a Profit & Loss report.

Let’s dive right in.

First, head over to your dispatches and select the order that you’d like to settle. Once you’ve clicked on a dispatch, then select the “Trip Settlements” tab. From here you can update the driver pay details at any time.


1. Hauling Charges


To begin the settling process, enter the hauling charges. If you’ve already set-up your Driver Pay preferences in Driver Settings, this part will already be completed with the Driver’s standard rate. However, you can still alter the information if necessary.

If the driver pay is not already saved in your settings, then you can choose to pay per mile, a percentage, or manually. If you choose to pay per mile, you will also need to choose the mileage values: by dispatch miles, by trip sheet miles, or by the invoice. Once you’ve selected that, enter the rate, and TruckLogics will create a subtotal of the hauling charges.


2. Fuel Surcharge Fees


After entering the hauling charges, it’s time to enter a fuel surcharge fee, if necessary. If not, you can skip this portion of the settlement. Choose your FSC calculation method from the dropdown menu: flat fee, percentage, or per mile.




3. Accessorial Fees


The nice thing is, you can add as many as you need, or none at all. Select the kind of accessorial you’d like to add to the pay. We have stop off, lumper, detention, tarp, and more. Or you can always click “Add New” to create your own accessorial category. After choosing the category, enter the amount. If you need to add more than one, click the “Add Accessorial Fees” button on the left.


4. Reimbursements


Almost done! Time to reimburse your driver for tolls, parking, room & board, or whatever expense they incurred. Simply enter the reason for the reimbursement in the open field, followed by the amount. If you need to add multiple reimbursements, select “Add Another” as many times as you need.


5. Deductions


If you need to dock the driver’s pay for any reason, for a late delivery for instance, here’s the line to do it. Select the reason for the deduction, either “Advance” if you already paid the driver in part, or other to enter another reason. Then enter the amount to deduct, and TruckLogics will subtract it from the total.

Now that you’ve entered all of the fields, just hit save! You’ll see a neat little total at the bottom of the page, so you know exactly what to put on their check.



After saving, you can scroll down to “Upload Trip Documents” to save images of invoices, BOL, or receipts from that trip. Just click “Choose File” and select the file type to upload. To upload multiple files, just select +Add Another Attachment.

And to view your total income/expense details for that order in particular, just scroll to the bottom of the trip settlement page, and select “Trip Net Revenue.”




This will display an itemized graph of your income and expenses for the trip, as well as your total Net Revenue and Revenue per Mile for that trip.


And that’s how it’s done! In total, you can settle your driver and log all trip expenses in just minutes. The itemized expense will also be logged in your Chart of Accounts. You can view all of your driver settlements by going to your Expense Transactions, and sorting through them by the Expense Category “Payroll.”

Trucking Nation Podcast 3 - Capitol Christmas Tree, Winter Survival Kits, & New Tech

How are you Trucking Nation? Winter Survival Kits
Most of you have winter kits tucked away safely in the cab, but when was the last time you check it to make sure you had everything you need in case of an emergency? It's already too cold for comfort here in Rock Hill, SC and my winter survival kit is definitely not up to par. A lot of trucking associations and Trucking Nation members recommend these items in your winter kit, you know - just in case stuff happens, like a blizzard that shuts down an interstate...remember last year:

- a shovel
- flashlight w/ extra batteries
- battery powered radio
- water 
- protein bars
- mini candy bars
- extra hats, socks, gloves, and blankets
- tow chains/rope
- road salt, sand, or kitty litter
- first aid kit
- emergency flares and reflectors
- fluorescent distress flag and whistle to attract attention

And if you want to take that one extra precaution, a portable heater is a great thing have in case of emergency. 

New Technology
Detroit (formerly Detroit Diesel) demonstrated a new safety system last week that uses radar to scan the highway in from of a truck to adjust cruising speed, alert drivers of fast closure rate, and break autonomously. Side note: I had to practice saying autonomously over and over again before the podcast; I learned if I said it in a british accent, it came out better.

Trucking Nation Podcast 2- Pete The Planner, Technology Chat, & Life Observations

A Veterans Day Tale

When this day comes every year, time almost stands still. I make a special call to my grandfather and thank him for his service. Our conversation never ends with my simple appreciation, it is only the beginning. Every year for as long as I can remember, my grandfather would tell stories of his service on Veterans Day. I have heard these stories over and over again and never tire hearing them. This morning, he told me one of my favorites and I would love to share it with the entire Trucking Nation as a special appreciation for our Veterans and to honor their service.

He always started with the same opening description of the day...

It was a quiet dark morning. The kind of quiet that can make a man go crazy.
I remember looking over at Sgt. Rosson while in the wheelhouse and noticing the ghost white color of his face. It was at that moment that it hit me. In just a few hours we were going to be in battle and that thought scared me to my core. My buddy Knox, who had been with me since basic, came up and put his arm around me. He handed my me a smoke and said "Here Lear, this might help ease your mind for a moment". It helped for a second, but the view of all the surrounding ships as we move closer to the beaches shocked my mind back to reality. I had to man up quick, because this was a war and I couldn't change anything.
I'm not going to get into the details of the events that followed, Hollywood has done a good job of that. But before we landed on the beaches, before the war really started for us, Knox took one last moment to talk to me. These were the last words he ever said to me, to anyone really, and I will never forget them, no matter how old or far gone my mind becomes.
He said, "Lear, take this letter. Now don't read it unless you know I ain't breathing. They are my final written words to my mother, and some instructions of what to do with my belongings back home. Well, that's the first page, the second page is for my son, make sure he knows I love him. I'm giving this to you because if I don't survive this, I know beyond a shadow of a doubt you will. You're too stubborn to die anywhere else but back in Tennessee. Oh, and I don't know if anyone has told you this, but you should smile more. For the only one in his entire hillbilly family to have all his teeth, you should show them off a bit more while you still can."

Only Knox could make me laugh at such a somber moment in time. I'd like to tell you I never read that letter, but PFC Christopher David Knox bravely fought and died for his country during WWII. When I got back home and opened the letter to know where to deliver it, the opening line was....

See, I knew you were too stubborn. Don't forget to smile hillbilly.

My grandfather still has that letter and opens it every Veterans Day and Memorial Day and just smiles. He tells me every time that he may be a Veteran and considered a hero, but Knox is his hero. He claims if it weren't for Knox, he wouldn't be here for me to call early in the morning every Veterans Day for a story.

To all our veterans, The entire TruckLogics Team and myself salute you for your service, sacrifice, and bravery. Thank you for everything you have done.

TruckLogics Maintenance Tracker: Schedule Tasks, Receive Reminders & Record Expenses

Let’s talk about Maintenance. It’s a dirty job, but everyone’s gotta do it!

From batteries to belts, to rotations and wiper blades, every square inch of your truck and trailer have something to be tweaked, tightened, or changed regularly!

And if you’ve got more than one truck, multiply all of that, and you’ve got a perfect storm of overwhelming details swirling around in your noggin. Quite the recipe for confusion and nasty non-compliance!

With so many details to remember, it’s absolutely vital to remain organized. Missing a single light check can lead to tickets, and even put your business in jeopardy. (You might say, it really puts a wrench into things.) When so much is at stake, you can’t risk relying on post-it notes–or worse–relying on nothing but the memory-capacity of the human brain!

If only there were one place to manage all maintenance tasks, and even better, a place to manage all aspects of your business! Oh right, there is–and we made it!

The TruckLogics Maintenance Tracker was designed to make maintenance maintainable. Whether you’re an owner-operator with one truck & trailer, or a fleet manager with dozens of trucks and trailers to maintain, you can keep track of it all with ease.

Have a gander at the pretty pictures. I’ll show you how to schedule maintenance, receive reminders, and check the status of maintenance tasks, all with a few clicks. Plus you can record expenses and vendor info all at the same time! Now that’s organization, baby.

Dashboard Reminders


From the Dashboard, you can conveniently view all upcoming maintenance tasks. To schedule a new task, click on the +Add New button on the top right, and then select the Maintenance icon. You can also navigate to the Maintenance feature by clicking “Truck Zone” along the top menu.


View Upcoming Maintenance Reminders on the Bottom Right of the Dashboard


Once you’re within the Maintenance Tracker, you can sort through tasks by four categories: Scheduled, Complete, Upcoming, and Past Due Maintenance. Simply select the category on the left-hand menu, and all relevant tasks for trucks and trailers will appear.


Scheduling New Maintenance Tasks


To schedule a new Maintenance Task, select +Add Maintenance button on the top right, then choose to add truck maintenance or trailer maintenance.

This will take you to a new screen to enter the maintenance details. You’ll first enter the Unit Details, which includes the truck or trailer information by simply selecting from your Truck Zone. For trucks, you’ll also enter the current odometer reading. This is important for receiving reminders, so be sure not to skip that step!

Next enter the maintenance Task Details. You can choose a task from our drop-down menu, but if you don’t see it there, you can always click +Add to schedule a new task. If you choose a task from our menu, simply check the box “recurring” if you’d like the receive regular reminders. You can also choose how frequently you’d like the task repeated, whether by date, length of time, or mileage.



If you’re adding a custom maintenance task, click +Add in the Task Details section. A pop-up window will magically appear, in which you’ll enter the task and the due criteria. Sounds fancy, but it’s super easy.

Choose whether you’d like reminders based on a certain length of time, a specific date, or at a certain mileage. OR, you can select the option “Both- whichever is lower” to receive a reminder when you hit 6 months or 5,000 miles, whichever it happens to occur first.




Almost done, just a few more waves of your mouse! Now that you’ve given the truck/trailer info and selected the task and its frequency, it’s time for enter the Last Maintenance details, like the date, odometer reading, and cost incurred from the last time this service was performed. Again, this not only helps you keep precise records for compliance, it also helps TruckLogics provide timely reminders!

Finally, enter the Vendor Details. Choose a preferred vendor from your Address Book, or click +Add to enter vendor details and save them for next time. Don’t forget to hit Save, and you’re finished! 

You can edit the task at any time by clicking the Pencil Icon or delete the task by clicking the trash can. The reminders for future tasks will appear on your Dashboard as the date or mileage marker approaches. You’ll never miss an oil change again!


Recording Completed Maintenance Tasks (& Expenses!)


Once you’ve completed the maintenance, record your victory by clicking the Complete Maintenance button. It’s the little wrench with a green check mark.

You’ll be taken to a new screen where you can enter Payment and Cost Details. To enter payment details, select the Payer from your address book, the method of payment, and the Vendor. Don't forget to update the odometer reading at the top of the page, if necessary.

Then enter the Cost information, which will automatically be recorded in your Chart of Accounts and Profit & Loss reports! Choose the cost type (Labor, Parts, Misc, or Other), then input a description of the part or service. Finally enter the cost.



To further itemize the bill, click Add Another Line at the bottom left of the page. This will allow you to record the itemized bill for future reference. Then enter any discounts or tax, and the total expense will be calculated for you. You can also upload a scan of the receipt by selecting Add at the very bottom of the screen.
